Chain-of-Custody

Chain-of-custody (CoC) is the legal requirement regarding the possession, movement, handling and location of evidence from the time it is obtained to the time it is presented in court. CoC must be maintained in a defined manner to minimize later allegations of spoliation which can compromise a case and carry significant sanctions.

The RenewData CoC process is as follows:

  1. Whether the original media has been collected directly from the client's site or shipped to our processing facility, RenewData accepts responsibility for the original media in a secure receiving room where chain-of-custody is conducted by the RenewData materials department.

  2. The RenewData Materials department documents all pieces of original media in a standard CoC log.

  3. A unique RenewData Media ID number is created for each original media item and is cross-referenced to the client's name and serial number, if any, on the original media. The RenewData Media ID number is printed on a bar-code label and affixed to the original media in a manner that will not affect existing labels.

  4. Once the CoC log is complete, the original media is moved by the RenewData Materials department to the Production Vault room outside of the processing center.

  5. Only original media that is required for processing is removed from the Production Vault and allowed into the processing center. All access to original media is recorded on the CoC log.
